Fund Drive Management

The RedAlert™ Fund Raising Module links with the Property/Pre-Plan Module and uses existing address records to help manage your fund drive. The module can also run stand-alone by using a separate address database.

The Fund Drive Management Module utilizes a Code 39 bar code (*1232*) to expedite the donation tracking process. Bar codes are printed on the literature you mail out. These bar codes are numeric representations of the property code assigned to each property.

A typical fund drive follows these steps:

  1. Generate and send out the initial mailing to all addresses. This mailing includes a postal bar code for discount postage as well as a bar code placed on the return item (see examples)
  2. Enter returned donations using the bar code wand.
  3. Generate and send out the second mailing. This mailing does not include addresses that have already sent donations.
  4. Enter all returned donations for second mailing using the bar code wand.
  5. Generate and send thank you letters or receipts addresses that match certain donation thresholds.

Rapid Donation Entry Screen

One of the most tedious and time consuming processes is entering donations. When donations come back, data entry personnel simply scan the bar code and the system looks up the appropriate property. You then scan a bar code corresponding to the amount they donated, reducing the donation entering process to two swipes of a bar code.

Personalized letters can be generated from the system. Conditions can be placed on the mailings allowing you to select certain records (e.g. only include those properties that haven’t donated anything, include only those properties which donated over $50).

CASS Certification

The United States Post Office requires that all bulk mail be CASS certified, sorted and stamped with a postal bar code. Alpine Software can have your database CASS Certified and all mailings can include the postal bar code.

Several fire departments have maintained their own fund drive database. Alpine Software Corporation offers data conversion services that includes importing the data in to the Fund Drive system.

Alpine has converted data from dozens of different software products as well as several different database types.

Address Maintenance

The address maintenance screen shows all of the fields that are included with the address record. Each address can be classified with a user defined code. There are also look ups for the street name, city, and salutation.

Additional Features

  • Allows for the exclusion of specific records. Examples include limiting mailin to only residential, excluding fire department personnel, or doing a seperate mailing for apartments and commercial addresses.
  • Import and Export functions for post CASS Certification requirements. You must re-certify your address database every six months to receive the bulk mail rate.
  • Include PostNet Bar Codes on any mailing, including thank you letters and general labels.
  • Links with Custom Reporting Module for printing special mailing formats.
  • Allows for placing a Code 39 Bar Code on any return item.
  • Rapid Donation Entry System for the fastest donation entry possible. Simply swipe the reader over the return item and the amount sheet
  • Allow for address maintenance while entering donations. Address data that is easy to maintain will be maintained.
  • Program comes with several summary and analysis reports.
  • Generate merge files that can be used by Corel WordPerfect.
  • Access donations drectly from address record.
